Terms of Service

1. About Promptbar and this agreement

Promptbar is operated by SAASFLOW OÜ, an Estonian private limited company, registration number 16834664. Our registered office is Jõe tn 3-308, Kesklinna linnaosa, Tallinn, Harju maakond, 10151, Estonia. Contact us at contact@promptbar.io.

An order form or separate written agreement may set additional terms. If it expressly conflicts with these terms, that agreement controls for the relevant matter. Our Privacy Policy explains how personal information is handled. Applicable data processing terms govern processing on a customer’s behalf. Nothing in this agreement removes rights that cannot legally be excluded.

2. Accounts and access

To open or administer an account, you must be at least 18 and legally able to enter into this agreement. Provide accurate information, keep credentials secure and tell us promptly about suspected unauthorized access. You are responsible for access you authorize and the users you invite.

Administrators control their workspace and its configuration. Do not share credentials or create accounts to bypass usage limits, security controls or another person’s permissions. We may request reasonable verification when protecting or recovering an account.

3. The service

Promptbar helps website operators add an AI prompt bar to their websites. Depending on the plan and configuration, visitors can ask questions about connected website content and documentation, receive answers with source references, explore product resources or demos, and submit information for follow-up. Features may include lead capture, qualification, routing, meeting booking and connections to other services.

Available features, the number of prompt bars, conversation allowances and other limits depend on your plan or order. You are responsible for the websites you connect, the content you make available, your configuration and the actions you authorize through integrations.

We may maintain and improve the service. Availability can be affected by maintenance, outages and third-party services. We do not promise uninterrupted operation, a particular response time or a specific sales outcome. Your agreement and applicable law govern remedies if a change materially reduces an agreed paid service.

4. Your content and connected sources

You retain your rights in the content you provide or connect. You give us permission to access, retrieve, store, process and display that content as needed to provide the service you configure, including generating answers and displaying relevant excerpts, resources and source references to visitors. This permission does not transfer ownership of your content to us.

Only connect material you have the right to use for these purposes. Check that your selected sources and settings are suitable for the audience that can access your prompt bar. Connecting a private document can cause information from it to appear in an answer; do not connect confidential material that visitors should not receive.

You are responsible for keeping your sources accurate, honoring third-party rights, and obtaining permissions for personal information. Website content, documentation and linked resources may change or become unavailable. Keep independent copies of content you need.

5. AI answers and visitor interactions

AI answers may be incomplete, outdated or incorrect. A source reference helps a visitor inspect supporting material but does not guarantee that the answer accurately represents it. Review your setup and important answers, and verify information before relying on it for a consequential decision.

Promptbar does not promise that an answer is professional advice or that a visitor’s information is accurate. You remain responsible for product claims, offers and commitments made through your prompt bar, and for how you use lead information and qualification results.

When deploying a prompt bar, provide appropriate notices that visitors are interacting with AI and explain how their information will be used. Obtain consent where required for data collection, communications, integrations and meeting booking. Do not use the service to make decisions producing legal or similarly significant effects about individuals without the safeguards and legal basis that apply.

6. Acceptable use

Do not use Promptbar for unlawful content, deception, exploitation, harassment, unsolicited communications, malicious software or infringement of another person’s rights. Do not impersonate someone, collect information without authority, bypass access restrictions, disrupt the service or try to obtain another customer’s content.

Report suspected abuse to contact@promptbar.io with the relevant page or other location and enough detail for us to investigate. We may restrict content or access when reasonably necessary to address abuse, a security threat or a legal obligation. We will provide notice and an opportunity to respond where required and appropriate.

7. Plans, purchases and renewal

Paddle is Promptbar’s authorized reseller and merchant of record for purchases made through Paddle. You buy from the Paddle entity identified at checkout and on your receipt. Paddle handles the transaction, invoicing and applicable transaction taxes; SAASFLOW OÜ supplies and supports Promptbar.

Paddle’s Buyer Terms govern your purchase from Paddle. These terms govern your use of Promptbar. Neither replaces mandatory consumer protections.

Our Pricing page describes available plans. The order you accept specifies the price, currency, billing period, usage allowance and applicable taxes. We will communicate material price or plan changes before they apply as required by your agreement and the law. Separate written Enterprise orders may set their own commercial terms.

Subscriptions renew at the agreed interval until cancelled. Manage or cancel renewal through the link in your Paddle receipt or Paddle.net. Cancellation takes effect at the end of the billing period. Our Refund Policy explains refund requests and your statutory rights.

Free and paid use remain subject to the limits disclosed for the plan. Additional paid capacity requires the applicable purchase or authorization. Unpaid amounts may result in restricted access after appropriate notice.

8. Intellectual property and integrations

Our software, branding and service materials belong to us or our licensors. During your permitted access, you may use Promptbar for its intended purpose within your plan and these terms. This does not transfer ownership of the platform or permit copying, distributing or reselling it except as agreed or allowed by law.

Third-party websites, resources and integrations have their own terms and privacy practices. You choose whether to connect them and are responsible for the permissions you grant. A connection may send information or perform an action in the connected service according to your configuration. We do not control those services or guarantee that a connection will remain available.

9. Confidentiality and customer data

Each party must use the other’s non-public business information only for this agreement and protect it with reasonable care. Disclosure is permitted to authorized people and providers who need it and have suitable duties, or where the law requires it. This obligation excludes information that becomes public without breach, is independently developed or is lawfully obtained elsewhere.

Customers are responsible for the lawful collection and use of visitor information, including conversation content, lead details and booking information. Where we process personal information on your behalf, contact us to arrange the applicable data processing agreement before that processing. Your instructions must be consistent with the law and the notices provided to visitors.

10. Suspension, termination and data

You may stop using Promptbar and request account closure at contact@promptbar.io. Account closure does not remove amounts already due; use the billing process described above to cancel renewal. We may suspend or end access for a material breach, serious misuse, a security risk or a legal requirement. Where appropriate, we will give notice and a reasonable opportunity to fix a breach.

When access ends, deployed prompt bars and integrations may stop working. Keep copies of information you need before closing your account. Contact us about retrieval or deletion of customer data. The applicable agreement, Privacy Policy and law govern retention and assistance; we do not promise indefinite storage after access ends.

11. Liability

We provide Promptbar with reasonable care and skill. To the extent permitted by law and subject to our express written commitments, we give no additional warranty that the service or AI answers will meet a particular purpose or achieve a particular result.

To the extent permitted by law, neither party is liable under this agreement for indirect or consequential loss, including lost profits or business opportunities. Our total liability arising from the service is limited to the fees you paid for Promptbar, directly or through Paddle, in the 12 months before the event giving rise to the claim. Fees paid through a reseller count toward this limit even though the reseller received your payment.

These limits do not exclude or limit liability for fraud, intentional misconduct, gross negligence, death or personal injury where applicable, or any liability that cannot legally be excluded or limited. Mandatory consumer rights and remedies remain unaffected.

12. Governing law and disputes

Estonian law governs this agreement, excluding conflict-of-law rules. Contact contact@promptbar.io so we can try to resolve a dispute. Unless mandatory law provides otherwise, disputes are subject to the jurisdiction of Harju County Court in Tallinn, Estonia.

Consumers retain mandatory protections under the law of their habitual residence and mandatory rights to bring proceedings in another court. This section concerns your agreement with Promptbar; Paddle’s Buyer Terms govern the law and dispute process for your purchase from Paddle.

13. Changes and contact

We may update these terms and will give notice of material changes as required by law or your agreement. The date above identifies this version. Changes do not retroactively remove accrued rights. If you do not accept a change, contact us about your subscription options and stop using the affected service when the change takes effect.

If a provision is unenforceable, the rest remains effective to the extent lawful. A delay in enforcing a right does not waive it. Obligations that should by their nature continue after termination remain in effect, including accrued payment obligations, intellectual property, confidentiality and applicable liability limits.

Send questions and legal notices to contact@promptbar.io or our registered address. We may contact you using the email associated with your account.
